How to host a flower party Host Guide
Whether you're preparing wedding flowers, hosting a girls' night, planning a team-building event, or arranging flowers for your home, this guide will help you create a smooth and enjoyable experience.
Timeline
Deliveries typically occur 2 days before your gathering, and 3 days before any special event. Make sure you have time scheduled to complete the following activities:
1 Week Before (optional)
Review the instructional guides online and consider sending them to your gathering party to read in advance — especially the Flower Handling guide if your group is new to arranging.
The more prepared your gathering, the smoother it will go!
1 Day Before
Flowers, tools, and print-out guides will be hand delivered at a scheduled time.
Start with the Preparation Guide following delivery or shortly after — this can take 30 minutes to 1 hour depending on order size. We can help support flower prep too, just let us know!
Gathering Day!
Bring your people together to get arranging! For events, start arranging 2 days before for large orders (500+ stems) — it's good to have an extra day in case you need more time. Make the most important arrangements (e.g., the bridal bouquet) first, so the best blooms are used.
For smaller orders (100–500 stems), you can complete arranging within a day.
Installation Day (for events)
If your arrangements will be transported to another location (e.g., a wedding venue), assign a few people to support with transportation and setup.
Review the Transportation Guide to make sure you have all the right materials.
Things You Need From Home
While most tools you need are provided, there are a few things you should have handy at home:
Garbage, Compost & Recycling Bags
Preparing flowers can be messy. Have garbage disposal bags handy, and cover any tables or floors you wish to protect.
Tables
You'll need a flat surface to prepare arrangements — a kitchen island, breakfast or dinner table, or a folding table all work well.
Scissors & a Knife
Scissors may be needed to cut ribbon and embellishments. A knife may be needed to cut floral foam bricks.
Blankets & Soft Materials
Use blankets or towels to cushion vases and fill negative space during transportation — see the Transportation Guide for more.
We provide ribbon for all bouquets — pick up any extra embellishments you want ahead of time, or let us know to include them in your order.
Arranging For Events: How Many People Do I Gather?
Some people may feel more comfortable taking a supporting role (e.g., filling buckets and vases with water, taping) rather than handling the flowers directly — but others may build confidence over time. Here are some general guidelines on how many people you may need, based on stem count. We'll also advise you during your consultation.
- ~100 stems: 2–4 people
- ~350 stems: 4–6 people
- ~1000 stems: 6–8 people
Host Responsibilities
Prepare Your Gathering Space
If possible, work in a cool room (15–25°C) without direct sunlight — a garage, basement, or north-facing room works well. Very hot or very cold temperatures can damage flowers, so keep finished arrangements cool too.
You'll also need a water source to fill buckets. Room temperature water is recommended to help acclimate the flowers.
Share Your Plan
Let your gathering know what they'll be making to spark creativity. If you're arranging for an event, share your vision and priorities so everyone's on board, and make a quick game plan for who's taking on which roles.
You can also start with a demonstration — building one arrangement together in a small group can help build confidence.
Make the Process Fun
A floral gathering is a bonding experience! Put on your favourite playlist, prepare some food and drinks, and encourage gatherers to ask questions, share learnings, and problem solve together.
Take pauses and breaks. And if an arrangement doesn't turn out as expected, you can always try again.
